Our Working Group took a practical turn as we guided schools through the foundational setup of our powerful platform designed to simplify payments, fees, and school store management.

If you're new to myPayment or have already started collecting school fees, this session is packed with essential insights on getting the most out of myPayment.

Setup

District Settings & Creating Fees

District Settings

  • Notifications: In settings, you can edit lunch balance and fee notifications. The day of the week, time of day, and balance can all be edited from here.
  • Accounting Codes: From district settings, you can add revenue, program, and project codes before adding any fees. These codes tie into your school’s accounting structure and should be configured before assigning any fees. 

Creating Fees

  • Fees by Group: To create a fee that will be added to multiple students at once, you will create a category, then add a student group. You can now add one or more fees to that student group. From this page, you can also assign the fee you created to either a pre-set group, like a grade level or class, or a tag, or you can select individual students and assign the fee to all of them at once.
  • Ad Hoc Fees: These are fees that you would use only as needed. Unlike group fees, these fees may be assigned to one student at a time, throughout the school year, whenever necessary. These fees can vary in amount assessed each time the fee is assigned to a student. Examples include overdue library book, broken computer, instrument rental, etc.

Dashboard Overview

Utilizing Your Dashboard

The myPayment dashboard gives a real-time snapshot of fees assessed, paid, waived, or outstanding.

From the dashboard, you can:

  • View fees by category. In these categories, you can see fees by students, assessed, paid, owed, past due, and waived.
  • Click on any number to see a list of all students who are in that category. 
  • Message parents of students in the selected category, especially helpful for sending messages to parents about unpaid fees.
  • View negative lunch balances for students and staff

This dashboard is a key tool for maintaining financial transparency and helping school staff stay on top of payments with minimal friction.

School Store

School Stores – Public v Private

From the Shop tab, schools can create and manage their school store, a favorite feature for streamlining sales of spirit wear, event tickets, donations and more.

Highlights from the training include:

  • Public Shops: Open to all visitors; ideal for merchandise, donations, or community events. This shop will be visible on your website; it is called your primary shop. You can only have one primary shop, but your shop can have unlimited projects and pages. 
  • Private Shops: All other shops you create will not be available to the general public. These shops are great for fundraisers, concessions at events, etc.
  • Unified Shopping Cart: A huge bonus with myPayment is that families can pay fees, add lunch funds, make a donation, and buy items from your school store all in one cart!
  • Donation Widgets: When editing your school store, you can use all of Frogtummy's preset blocks, including customizable donation widgets for specific fundraisers or programs.

The flexibility of this feature gives schools a powerful tool to centralize fundraising, store sales, and fee payments.

Parent Portal

Parent Tools at their Fingertips

The Frogtummy parent portal remains a vital component of the myPayment experience. Families can view fees, pay balances, and shop with ease. Schools can proxy as parents to help them through the portal.

In this training, we covered:

  • Instructions: Schools should send parents instructions on how to create their parent portal account. Frogtummy has sample instructions if needed.
  • Proxy as Parent: School employees can proxy as parents, allowing them to see what the parent can see.
  • Payment History: Parents can see their payment history from the portal
  • Troubleshooting: The most common reason a parent can't see their students when they are logged into their parent portal account is that they are not using the email listed under their custodial contact record in Aspire. Schools can confirm they are using the correct email by checking what email is listed for them in Frogtummy or Aspire. If the email is incorrect in Aspire, it needs to be changed there, and Frogtummy will update.

Live Working Group Discussion 🗣️

As many schools are still in the early stages of implementing myPayment, several users have not yet had extensive experience with the system and therefore did not have a large number of questions during the training. 

In anticipation of common concerns that may arise, we have included below some of the frequently asked questions from other schools that have recently launched myPayment.

How do I know what revenue and program codes to use? And where do I find these?

Revenue and program codes are used by the school's accountant for reports, bookkeeping and account reconciliation. These codes are mandatory to add a fee. Your school accountant should be able to provide you with the codes they use. Don't forget to ask them about optional program codes. These codes are optional because not every school uses them. The codes are not retroactive. So once a fee is paid with whatever codes it has, that is how it will be reported. Make sure your codes are accurate!

What is an "ad hoc" fee, and how do I use them?

"Ad hoc" fees are fees assessed to students for one-off circumstances, such as a lost library book, a broken computer or an instrument rental. These fees don't belong to a particular group of students and can be assessed at any time throughout the year. The fee amount can vary based on circumstance.
