Enrolled in SIS

The number in this category should match the number in the Student Information System (i.e. Aspire), including future students whose school entry date will be after the first calendar day of school.

NOTE -  to those using Aspire, those students are not included in the Aspire dashboard until their entry date is no longer in the future.

SIS Records Not Found in MyLottery

This item is more of a final cleanup before the current school year starts in August, but is also applicable after running your first lottery for the next school year. This field should be empty before the first lottery/registration.

Steps to zero out this list:

This number is BRAND NEW students for the school year. This number indicates applications that are in the SIS (Aspire) but not found in MyLottery. This number is usually low. If this number is high, it could be because you subscribed to MyLottery half way through the enrollment period, meaning you will have students showing who were enrolled with your last lottery system.

The SIS count may occasionally be off if for example, you have a student who left 3 years ago then returned. That student will not be considered a brand new student. myLottery takes this into consideration elsewhere so no need to worry.

A students demographic information (name, birthdate, grade level, campus) might be different in myLottery vs. SIS.

1. Click the number in this box to open the list of students.

2. Click Find Matching Lottery Applicant.

3. Enter the student's name in the Search bar.

4. If the correct student's name shows up,  click Match.

5. Check the provided table pop-up to see if there is information highlighted in red. This indicates the information does not match. If the information is wrong, correct it by going to the source listed.

  • Applicant Data: make the correction in myLottery. Proxy as the parent and make the needed adjustments to their lottery application.
  • SIS Data: make the correction in the SIS (Aspire, etc.).

6. When the information correctly matches and there is no red highlight, click Confirm Match.

It’s possible that the parent already had the Aspire link, possibly for a sibling for example, and added another student into the SIS without completing an application through the school.

1. Complete an application for the student:

  • You can ask the parent to complete the lottery application, or
  • Check if the parent is in myLottery using the Parents tab at the top. Search last name in the search bar. If a sibling is already in the system, you can proxy as the parent and create another student application from here.

2. If the parent is not found during the search, go to the school website to the Enroll-Now page and create an application here with the student information. 

  • Log out of your admin account so it does not interfere. 
  • Fill out the application as if you are the parent with the information from SIS. You will need to create a password for them but they can change it later. 
  • Submit the form. 
  • Now you can make an offer as normal.
